This Privacy Policy explains how Billiton Services Private Limited (“we”, “us”, “our”, or “BeBadge”) collects, uses, shares, and protects your personal data when you use the BeBadge platform, our websites, and our mobile applications. We are committed to handling your personal data responsibly and in compliance with India’s Digital Personal Data Protection Act, 2023 (the “DPDP Act”) and other applicable laws.
1. Who We Are
BeBadge is a smart event management platform operated by Billiton Services Private Limited, a company established in 2016 and headquartered in Bengaluru, Karnataka, India. For the purposes of the DPDP Act, we act as a Data Fiduciary in respect of the personal data we process through the platform.
2. Information We Collect
We collect the following categories of personal data:
Identity & contact data — name, email address, mobile number, company or institution, designation, and profession.
Event data — registrations, digital passes, check-in records, stalls visited, sessions attended, and leads exchanged at events.
Business data — for exhibitors, GST identification number and business verification details used for onboarding.
Transaction data — payment records where the platform is used to collect registration or exhibitor fees on behalf of organisers.
Technical data — IP address, device and browser information, and usage analytics.
Communications — demo requests, support messages, and feedback you submit to us.
3. How We Use Your Data
We use your personal data for the following purposes:
To operate the BeBadge platform and provide event registration, QR-based access control, and lead-capture services.
To enable Scan-to-Connect — the bi-directional exchange of contact details between visitors and exhibitors who choose to connect. Either party may scan the other; both receive each other’s details.
To power the AI business card scanner, which both exhibitors and visitors may use to capture contact details from physical business cards.
To send notifications across mobile app, SMS, email, and WhatsApp where you have provided consent.
To process payments collected on behalf of organisers and exhibitors.
To respond to demo requests, provide customer support, and improve the platform.
To ensure security, prevent fraud, and comply with our legal obligations.
4. Legal Basis and Consent
We process your personal data on the basis of the consent you provide at the point of registration, and for the legitimate uses permitted under the DPDP Act. Where you exchange details with an exhibitor or organiser through the platform, you consent to your contact information being shared with that party for the purpose of follow-up. You may withdraw your consent at any time, as described in Section 7.
5. How We Share Your Data
We share personal data only as necessary to deliver the service:
With event organisers and exhibitors you choose to connect with at an event.
With trusted service providers that power the platform, such as payment gateways and communication (SMS, email, WhatsApp) providers, strictly to perform services on our behalf.
Where required by law, regulation, legal process, or enforceable governmental request.
We do not sell your personal data to any third party. Any data processor engaged by us is bound by contractual obligations to protect your data and use it only for the purposes we specify.
6. Data Retention
We retain personal data for as long as necessary to provide the service to you and to meet legal, accounting, or reporting requirements. When personal data is no longer required, it is securely deleted or anonymised.
7. Your Rights Under the DPDP Act
As a Data Principal, you have the following rights:
Right to access — obtain a summary of the personal data we process about you.
Right to correction and erasure — request that inaccurate data be corrected or that your data be erased where no longer required.
Right to withdraw consent — withdraw consent at any time, with effect from the point of withdrawal.
Right to nominate — nominate another individual to exercise your rights in the event of death or incapacity.
Right to grievance redressal — raise a complaint with our Grievance Officer, whose details appear below.

8. Data Security
We apply appropriate technical and organisational safeguards — including encryption of data, role-based access controls, and secure infrastructure — to protect your personal data against unauthorised access, alteration, disclosure, or destruction. While no system can be guaranteed to be completely secure, we continually review and improve our security measures.
9. Children’s Data
BeBadge is not directed at children under the age of 18. We do not knowingly process the personal data of children without verifiable consent of a parent or lawful guardian, in line with the DPDP Act.
10. Changes to This Policy
We may update this Privacy Policy from time to time to reflect changes in our practices or legal requirements. Material changes will be communicated through the platform or our website. The latest version will always be available on our website.
